Rayzon Solar ("we", "us", or "our") operates the Trip Track mobile
application (package name: com.rayzonsolar.triptrack). This Privacy
Policy explains how we collect, use, store, and protect information when you use
the app as an employee or authorized user of our travel and kilometer logging system.
By using Trip Track, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the app.
1. Information We Collect
Depending on how you use Trip Track, we may collect the following types of information:
- Account information: name, employee code, email address, mobile number, role, and login credentials used to authenticate you.
- Location data: GPS coordinates (latitude/longitude), accuracy, and addresses derived from your location. This includes foreground and background location while a trip is active, for departure/arrival verification, route tracking, and live GPS trails.
- Travel and trip data: travel requests, from/to locations, client names, visit purpose, vehicle type, fuel/energy type, trip legs, distance traveled, travel duration, meeting duration, travel allowance, and trip status.
- Punch and activity records: timestamps and locations for departure, arrival, meeting start, and meeting end events.
- Photos: images you capture for start/end odometer readings or trip-related documentation using the device camera.
- Device and app data: device identifiers, app version, network connectivity status, battery level (for tracking reliability), and technical logs needed to operate and troubleshoot the service.
- Offline data: trip and sync data stored locally on your device when you are offline, which is uploaded when connectivity is restored.
2. How We Use Your Information
We use collected information to:
- Authenticate users and provide role-based access (employee, manager, admin).
- Create, manage, and approve employee travel requests.
- Record trip punches, GPS routes, distances, and visit timelines.
- Verify that departures and arrivals occur within allowed geofence areas.
- Calculate travel reimbursement based on distance, vehicle type, and fuel/energy rates set by your organization.
- Enable live trip tracking and administrative oversight where enabled.
- Sync data between your device and our servers, including offline queue processing.
- Send notifications related to trip activity and app functionality.
- Maintain security, prevent misuse, and improve app performance.
3. Permissions We Request
Trip Track may request the following device permissions:
- Location (precise, approximate, and background): to track trips, verify punches, and record GPS routes during active travel.
- Camera: to capture odometer and trip-related photos.
- Storage: to save images and offline trip data on your device.
- Internet: to communicate with our servers and sync trip data.
- Notifications: to alert you about trip-related events.
You can manage some permissions in your device settings. Disabling required permissions may limit core app functionality such as trip tracking or punch recording.
4. Third-Party Services
We use trusted third-party services that may process limited data on our behalf:
- Google Maps Platform (Maps, Places, Geocoding) - for map display, place search, address lookup, and route-related features. Google's privacy policy: policies.google.com/privacy
- OpenStreetMap - as a map fallback on some platforms.
These providers may receive location or search queries necessary to deliver their services. We do not sell your personal data to third parties.
5. Data Storage and Security
Trip data is transmitted to our secure backend servers and may also be stored locally on your device (for example, using Hive/local database) to support offline use. We implement reasonable technical and organizational measures to protect your information, including encrypted transmission (HTTPS) and access controls.
No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
6. Data Retention
We retain your information for as long as your account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Travel records may be retained according to your organization's internal policies and applicable law. Local offline data on your device may be removed when you log out, uninstall the app, or when the app clears cached data.
7. Data Sharing
We may share your information only in the following circumstances:
- With your employer (Rayzon Solar administrators and authorized managers) for travel management, approval, and reimbursement.
- With service providers who assist in hosting, analytics, or infrastructure, under confidentiality obligations.
